What a service visit includes

Most refrigeration companies say they offer "maintenance" and leave it there. Here is the actual list Sam works through on a commercial refrigeration service, and the reason each step is on it. Not every task applies to every unit: a plug-in display fridge has no separate condensing unit on the roof, and only sites with an ice machine get a descale.

TaskWhy it matters
Condenser coil cleanThe condenser is where heat leaves the system. Dust, lint and kitchen grease insulate the fins, so the compressor runs longer and hotter to do the same job.
Evaporator coil and drain lineA clean evaporator moves cold air properly. A blocked drain line sends defrost water onto the floor or freezes into a block of ice under the coil.
Door seals and hingesA torn gasket or a door that sags off its seal lets warm, humid air in all day. That means more running time, frost build-up and warmer product near the door.
Refrigerant pressures and superheatPressure and superheat readings show whether the system holds the right charge and the expansion valve is feeding the coil correctly. Small drifts show up here long before the cabinet warms.
Leak checkJoints, valves and flare fittings are checked for escaping refrigerant. Finding a slow leak early is cheaper than a compressor that has run short of gas for months.
Electrical connections and amp drawLoose terminals overheat and fail. Measuring the current each compressor and fan draws, and comparing it with its rating, flags a motor that is starting to struggle.
Fan motorsCondenser and evaporator fans are checked for bearing noise, blade damage and correct speed. A seized fan is one of the most common causes of a warm cool room.
Defrost cycleHeaters, timers and termination settings are checked so the coil clears fully on each cycle without warming the box more than it needs to.
Controller and probe calibrationEach controller display is checked against a reference thermometer. If the screen says 3 degrees and the product is at 7, your logs are wrong and so is your food safety record.
Temperature log reviewSam looks over your recorded temperatures for patterns, such as a cabinet that drifts up every afternoon, that point to a fault the spot check might miss.
Ice machine descale (where fitted)Scale on the evaporator plate slows harvest and cuts output. The machine is descaled and sanitised so the ice stays clean.

Anything found that needs a part or a repair is noted and quoted before it is done. You decide whether to go ahead on the day or book it in.

How often commercial refrigeration should be serviced

There is no single interval that suits every site. The right frequency depends on the equipment, how hard it works and the air around the condenser. As general guidance:

  • Every six months for most reach-in fridges, display cabinets and cool rooms in a clean shop, office kitchen or air-conditioned back of house.
  • Every three months for commercial kitchens, where airborne grease coats condenser fins quickly, and for dusty sites such as warehouses, workshops and industrial estates.
  • Every three months for condensing units on roofs or walls in full sun, and for supermarket plant that runs flat out for long trading hours.
  • Ice machines on the water they use: hard water and high output mean more frequent descaling.

Timing matters as much as frequency in Perth. A service in late winter or spring, before the first run of 40 degree days, puts the condenser in its best condition for the months when it has the least margin. On the first visit Sam lists every unit and recommends an interval for each, rather than putting the whole site on one schedule because it is simpler to invoice.

What regular maintenance prevents

Summer is when refrigeration fails, and the reason is usually something a service would have caught. On a hot afternoon the condenser has to push heat into air that is already very warm. If the coil is half blocked or a fan is weak, head pressure climbs, the compressor overheats and trips, and the cool room starts warming while the kitchen is at its busiest.

  • An open electrical box with a worn, scorched contactor and meter leads
Breakdowns at the worst time. Worn fan bearings, loose terminals and failing contactors give warning signs that a technician can measure weeks before they stop working.
  • Walk-in cool room shelves stocked with produce, milk and meat trays
Stock loss. One failed cool room overnight can mean throwing out everything in it. Prevention costs far less than replacing a room full of produce, meat or dairy.
  • Condenser coil fins clogged with grey dust and lint
Energy waste. Dirty coils and leaking door seals keep compressors running longer for the same temperature, and that shows up on every power bill.
  • An old rusted compressor inside a condensing unit housing
Shorter equipment life. A compressor that runs hot and long every day wears out years earlier than one with a clean condenser and the right charge.

When something does fail between services, Sam handles cool room repairs and commercial fridge and freezer repairs with same-day emergency callouts across Perth.

Service records for food safety audits and insurance

Under the Food Standards Code, chilled food has to be kept at 5 degrees C or colder and frozen food has to stay frozen hard. Your temperature logs are how you prove it, and those logs are only as good as the thermometers and displays behind them. A controller that reads two degrees low makes every entry in the book wrong.

A probe in the product is the reference the controller gets checked against.

Each maintenance visit gives you a dated record of which units were serviced, the temperatures measured, any controller corrections and any faults found. File it with your food safety program. If an environmental health officer or a third-party auditor asks how you know your cold storage is reliable, you can show them.

Check your policy. Some business insurers ask for evidence of regular maintenance when assessing a spoilage or machinery breakdown claim. If your policy covers stock in refrigeration, read the conditions and keep your service records where you can find them.

Maintenance plans: single visit, quarterly or six-monthly

There are three ways to book commercial refrigerator servicing, and the right one depends on how much equipment you run and how much a breakdown would hurt.

  • Single service visit. A one-off service for a site that has not been looked at in a while, a new tenancy taking over existing equipment, or a pre-summer check. It is also the best way to see what a visit involves before committing to a schedule.
  • Quarterly maintenance plan. Four visits a year for kitchens, supermarkets, dusty sites and anywhere with equipment working hard in the heat.
  • Six-monthly maintenance plan. Two visits a year, timed before and after summer, for equipment in cleaner, cooler conditions.

Plans are priced per site once Sam knows what is on it, so you get a fixed quote before any work. Ask about how plan customers are looked after when something breaks between visits. Because it is one company with no subcontractors, the technician who services your gear is the same one who turns up if it fails.

Signs your refrigeration is overdue for a service

If you are not sure when your equipment was last serviced, it is overdue. Other warning signs:

  • The compressor seems to run constantly and rarely cycles off.
  • Ice is building up on the evaporator coil or around the fan.
  • Water is pooling under a cabinet or on the cool room floor.
  • Door gaskets are torn, flattened or no longer grip the frame.
  • Condensation forms on display glass or around door frames.
  • Product at the top or front of a cabinet is warmer than at the back.
  • The display reads differently from a probe thermometer in the product.
  • Your power bill has crept up with no change in trading.
  • There is a new rattle, hum or clicking from the condensing unit.
  • Ice output has dropped or the ice looks cloudy and soft.

Any one of these on its own is worth a call. Several together usually means a fault is already developing.

Equipment we service across Perth

Sam Celesti has more than 20 years in commercial refrigeration and holds ARCtick licence AU55592. He services walk-in cool rooms and freezer rooms, reach-in and upright fridges, underbench and bar fridges, supermarket display cases and ice machines, for restaurants, supermarkets, medical facilities, hotels, bars and industrial sites across the metro area.

Ice machines on a plan get the same attention as the fridges; see ice machine repairs and cleaning for what that involves. If an old room is costing more to keep running than it is worth, Sam can also quote a new cool room or freezer room build. Request a quote and you will get a callback within 30 minutes.

Frequently asked questions

How often should a commercial fridge be serviced?

Twice a year suits most fridges and cool rooms in a clean, air-conditioned space. Kitchens with fryers and grills, dusty warehouses and condensers that sit in full sun usually need a visit every three months, because the coils clog faster. Sam sets the interval after the first visit, once he has seen the equipment, its age and where it lives.

What is included in a commercial refrigeration service?

A full service covers cleaning the condenser and evaporator coils, clearing drain lines, checking door seals and hinges, reading refrigerant pressures and superheat, a leak check, testing electrical connections and current draw, fan motors and the defrost cycle, and checking each controller against a reference thermometer. Ice machines are descaled where fitted. You get a note of what was found.

How long does a service visit take, and do we need to close?

It depends on how many units you have and how dirty the coils are. Most of the work happens with the equipment running, and each cabinet is only off for a short time while its coils are cleaned. Sam will book around your trading hours, so a restaurant can be serviced before the lunch prep starts or after close.

Does servicing include a regas?

No. A correctly working system is sealed and should never need topping up. If the pressure readings or leak check show refrigerant has escaped, Sam finds and repairs the leak first, then recharges the system. That repair is quoted separately and agreed with you before any work goes ahead, so there are no surprises on the invoice.

Do you service equipment you did not install?

Yes. Most of the fridges, freezers and cool rooms Sam maintains were installed by someone else, sometimes decades ago. He works on Eidis, Carel, Tecumseh, Manitowoc, Bitzer, Danfoss, Skope and Cabero equipment among others. On the first visit he lists every unit on site so the plan covers what you actually have.

Will I get a record of the service for our food safety plan?

Yes. After each visit you get a record of the units serviced, the temperatures measured, any controller adjustments and any faults found. Keep it with your temperature logs. It shows an environmental health officer or auditor that your refrigeration is maintained and that the displays you rely on have been checked against an accurate thermometer.

Can I just clean the condenser myself between services?

Staff can gently brush lint and dust off the front of a condenser grille with the unit switched off, and that does help in a dusty kitchen. Leave fin straightening, degreasing, pressure checks and anything behind panels to a licensed technician. Bent fins and chemical damage are easy to cause and cost more to fix than the clean saves.
